Privacy Policy Overview

Projected Image is dedicated to the protection and privacy of personal information for all our customers and website visitors. This privacy policy explains what personal information we collect, how and why we use it, who we share it with, how long we keep it, and the rights you have under UK data protection law.


Effective Date and Applicability

This privacy policy is effective as of 4 September 2026 and replaces our previous policy dated January 2020. It applies to www.projectedimage.com, to orders placed with us online, by telephone, by email or in person, and to our dealings with customers, suppliers and other business contacts. It will be interpreted in accordance with the UK General Data Protection Regulation and the Data Protection Act 2018.


Who We Are

Projected Image UK Limited (company number 03797609) is the controller of your personal information. Our registered office is at 32 Portland Terrace, Newcastle upon Tyne, NE2 1QP, and we trade from The Old Casino, 1-4 Forth Lane, Forth Place, Newcastle upon Tyne, NE1 5HX. In this policy, "Projected Image", "we", "us" and "our" mean Projected Image UK Limited.


Information We Collect

Visitors to Projected Image can browse without revealing personal identity or information. When you order from us, open an account, request a quote, send us artwork or contact us, we collect personal information including:

  • Name, job title and the organisation you work for
  • Contact, billing and delivery details
  • Account details
  • Order, delivery and payment details (we never see or store full card numbers)
  • Artwork and project information supplied for custom products, which may include personal information about you or other people
  • Our correspondence with you
  • Your marketing preferences
  • Technical information such as IP address, device and browsing information
  • For credit accounts, business and credit information

We collect this information directly from you, automatically when you use our website, and from Shopify, payment providers, delivery companies, credit reference agencies, Companies House and colleagues who name you as a contact on an order. [Calls to our main number are recorded. Our premises are covered by CCTV. Delete if not applicable.]


How We Use Your Information

We use your personal information for the following purposes, relying on the lawful basis shown for each:

  • Processing orders, making custom products, delivery, managing accounts and providing support: performance of a contract with you
  • Answering enquiries and providing quotes: performance of a contract, or our legitimate interest in responding to you
  • Running trade and credit accounts, credit checks and collecting money owed: performance of a contract and our legitimate interest in managing credit risk
  • Taking payment and preventing fraud: performance of a contract, our legitimate interests, and the recognised legitimate interest in detecting and preventing crime
  • Accounting, tax and legal compliance: compliance with a legal obligation
  • Marketing: your consent, or our legitimate interests where the law permits (see Marketing below)
  • Operating, securing and improving our website: our legitimate interests, and your consent for non-essential cookies
  • Handling complaints, legal claims and insurance, and any sale of our business: our legitimate interests

We use artificial intelligence and automated tools, including third-party applications connected to our Shopify store, to support the purposes above. The lawful basis is that of the underlying purpose. You have the right to object to any processing based on our legitimate interests (see Your Rights below).

If you do not provide the information we need to perform a contract, we may be unable to supply the products or services you have asked for.


Marketing

We send email and SMS marketing to consumers only with your consent, or where you have bought or asked about similar products from us and were offered the chance to opt out. We may send marketing to business contacts at their work email address on the basis of our legitimate interests. You can opt out at any time using the unsubscribe link in any message or by contacting us, and you can withdraw your consent at any time. We do not sell your personal information.


Automated Decision-Making and Profiling

We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects. Shopify and our payment providers automatically screen orders for fraud, but a member of our team reviews any flagged order before it is held or cancelled. Product recommendations and marketing may be personalised using your browsing and purchase history, and you can object to this at any time. If we ever intend to make a significant decision about you by solely automated means, we will tell you in advance and you will have the right to information about the decision, to make representations, to obtain human intervention and to contest it.


Who We Share Your Information With

We share personal information only where necessary for the purposes above, with:

  • Shopify, which hosts our store and processes orders and payments
  • Payment providers: Shopify Payments, Apple Pay, Google Pay [and PayPal]
  • Delivery companies: [DPD, UPS, Royal Mail]
  • IT, email and cloud providers, including Google
  • Our email marketing platform: [Shopify Email / Klaviyo / Mailchimp]
  • Accounting and finance: Xero, our accountants, credit reference agencies [Creditsafe / Experian], and debt recovery agents where an account is overdue
  • Analytics and advertising services: Google (Tag Manager, Analytics and Ads) [and Meta]
  • AI service providers and other applications connected to our store
  • Manufacturers and repair partners for warranty claims
  • Professional advisers, insurers, and public authorities where required by law
  • A buyer or successor of our business

International Transfers

Some of our providers, including Shopify, Google and our AI service providers, process information outside the UK, including in the EEA, Canada and the United States. Where this happens we rely on UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework) or on the ICO's International Data Transfer Agreement or UK Addendum. You can ask us for a copy of the safeguards used.


How Long We Keep Your Information

  • Orders, invoices, payment and credit account records: six years after the end of the financial year of the transaction
  • Customer accounts: while active, then deleted or anonymised [three] years after last use
  • Artwork for custom products: [seven] years after your last order, so that we can supply repeat gobos
  • Enquiries that do not lead to an order: [two] years
  • Marketing information: until you opt out, after which we keep a suppression record only
  • Correspondence: six years where it relates to a contract or claim, otherwise [two] years

Your Rights

You have the right to access your personal information; to have it corrected or erased; to restrict our use of it; to object to processing based on our legitimate interests, to profiling and to direct marketing; to data portability; to withdraw consent at any time; and the rights described above in relation to automated decisions. To exercise any of these rights, contact us using the details below. We may need to verify your identity and will respond within one month.


Complaints

If you are unhappy with how we handle your personal information, please complain to us first and we will acknowledge your complaint within 30 days. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, by telephone on 0303 123 1113, or by post to Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.

Our website uses strictly necessary cookies set by Shopify for the cart, checkout, login and security, which do not require your consent. With your consent, given through our cookie banner, we also use analytics cookies (Shopify analytics and Google Analytics via Google Tag Manager), functional cookies (such as embedded videos), and advertising cookies from Google [and Meta] to measure and target our advertising.
